Legal Basis for Data Processing

To host the event and provide the associated services, we process personal data on the following legal grounds:

Consent (Art. 6 para. 1 lit. a) GDPR)

  • for the fulfillment of contracts (Art. 6 para. 1 lit. b) GDPR) 
  • and on the basis of a consideration of interests (Art. 6 para. 1 lit. f) GDPR)
  • and for the fulfillment of a legal obligation (Art. 6 para. 1 lit. c) GDPR)

we will refer to the relevant terminology so that you are aware of how we process your personal data.

If personal data is processed based on your consent, you have the right to revoke your consent at any time with effect for the future.

If we process data on the basis of a balance of interests, you, as the data subject, have the right to object to the processing of personal data, taking into account the requirements of Art. 21 GDPR.


Participant Inventory data 

If you register for an event as an attendee and chose to participate virtually, we will process the following data:

Billing information

  • Company name
  • Name
  • Address
  • Postal code
  • City
  • Country
  • Sales tax identification number
  • Internal reference (optional)
  • Beneficiary (optional)

In case of on-site participation we process the following data:

  • Name
  • Company
  • Email of the participant
  • Address
  • Postal code
  • City
  • Country
  • LinkedIn profile (optional)
  • Acknowledgement of photo conditions
  • Dietairy restrictions (optional)

Depending on the respective payment method, we process the necessary information required in this regard. The legal basis for this processing is Art. 6 para. 1 lit. b) GDPR.


Usage data of Participants

If you take part  in one of our events, your participation various segments of the event (workshop, sessions, etc.) may be recorded. This is especially relevant for virtual event participation.

We store and utilize this information to provide you with other relevant content and additional information. This communication may also occur via email.

You can object to this data processing for promotional purposes at any time, incurring only the transmission costs according to the standard rates. An unsubscribe link will be included in each of the corresponding emails.

If you participate in an event via the Internet, the following usage data will also be logged on the basis of a consideration of interests:

  • IP address of the calling end device (for a maximum of 14 days)
  • Operating system of the calling computer
  • Browser version of the calling computer
  • Name of the retrieved file
  • Date and time of the retrieval
  • Amount of data transferred
  • Referring URL

As a rule, we cannot establish a personal reference from the data.

The data is also used to identify and correct errors in the provision of services.


Storage of information in end devices

To ensure the correct display of event content during virtual participation, information may also be stored in and read from your terminal device. 

This data is typically not used for individual behavior-related usage analyses. In addition to the purposes mentioned above, the data is also utilized for error detection and correction. This processing of information on your terminal device is deemed "absolutely necessary" according to Section 25 (2) No. 2 TTDSG ("Telekommunikation-Telemedien-Datenschutz-Gesetz")

Purposes of the processing of personal data

We process the aforementioned data to provide event services and fulfill contractual obligations to participants, or to protect our legitimate interests.


Recipients / Sharing of Data

As a general principle, data that you provide to us will not be shared with third parties. Specifically, your data will not be shared with third parties for their advertising purposes.

However, we do use service providers for the technical implementation of the event. When they process personal data on our behalf, we have a data processing agreement with them as defined by Art. 28 GDPR.

We carefully select our service providers, especially with regard to data protection and data security, and take all measures required under data protection law for permissible data processing.


Data processing outside the European Union

As a general rule, no processing of personal data outside the EU takes place in the context of the implementation of events.

Your Rights:

You have the right to obtain information about the personal data concerning you. You can contact us for this information at any time.

In the case of a request for information that is not submitted in writing, we kindly request your understanding that we may require proof to confirm your identity.

Furthermore, you have a right to request rectification, deletion, or restriction of processing to the extent permitted by law.

You also have the right to object to processing within bounds of the law.

Deletion of Data

In general, we delete personal data when there is no longer a need for its storage. The need for storage may still exist, especially if the data is required to fulfill contractual services, to verify and address warranty claims, or, if applicable, guarantee claims. In cases of statutory retention obligations, deletion will only be considered after the expiration of the respective retention period.


Right to Lodge a Complaint with a Supervisory Authority
