  • Linchpin Intranet - Relevant Functions for Employee Representative Groups

When planning a new intranet project in a company, you should always consult with the employee representatives group (sometimes called a works council or workers' council). As representatives of the employees, this group often attempts to prevent employee-specific data from being collected and analyzed (for example, performance measurements, such as the number of edits made, new pages created, etc.) Here, we provide an overview of Linchpin functions in this context, as well as some general recommendations.

Relevant functions overview 

Network: Allows employees to follow users and see information about their activity in the system. More: 
Task Report Macro: Provides an overview of tasks assigned to users in the system. In particular, Assigned to and Status could be critical. More: risk 
Custom User Search (CUP) Searches for users based on specific criteria, especially abilities and interests. More: 
Profile Completion Assistant (CUP): Prompts users to complete personal profile information. More: 
Activity Stream Gadget: Shows all activity within the system, and can be configured with a filter so that the activity of specific users is shown. More: 
Site Statistics: Provides a basic analysis of the activity within the system, and can indicate which users are most active. More: risk 


General recommendations 

  • Involve the employee representative group from the start, to clarify all fundamental concerns and interests.
  • Establish an agreement with the employee representatives so they become supporters of the new system.
  • Provide the employee representatives with their own space in Linchpin to use as their communication platform.
  • Do not store any personal data in tracking tools.
  • Do not use add-ons that save any personal data.
  • Explicitly discuss and clarify the functions mentioned in the table above, and define a technical solution.
