Learn how to configure Linchpin News Digest.
Where to find the configuration
Navigate to Confluence administration → Linchpin → Enterprise News → News Digest Configuration.
Configuration
The configuration of Linchpin News Digest is divided into three main sections: basics, schedule and content.
Okay, if you count the activation of the app, there are actually four sections.
Activation
Activate the Digest active slider button. Linchpin News Digest will be active when the button turns green.
Don't forget to click on the Save button.
Basics
The more structural configuration of the digest.
Sender email
Leave this field empty to use the default system address as the sender email.
Otherwise: Enter an email name of your liking. This email name will be used as the sender of the digest email.
Please note that the domain is by default the domain of your configured email server.
If you wish to be able to receive user replies to digest emails, make sure to use an actually existing email as your sender email.
Sender name
Whatever you enter here will be displayed as the sender in your users' inboxes. (for example: From: Your News Digest)
Enter the name of the sender that should be displayed in the inbox.
Recipient(s)
Leave this field empty to send digest emails to all active users.
Otherwise: Enter Confluence users or Confluence groups which should receive the news digest.
Subject
The subject functions both as a headline in every news digest email and the subject/title of the email in the inbox.
Introductory text
Enter a text which will appear at the top of every news digest email.
Schedule
Define the frequency of the digest and the next execution date for the digest.
Digest is sent every [amount] [days/weeks/months]
The news digest is sent in a fix time interval. For example: Every 3 days.
Enter the amount of days/weeks/months. To switch between days, weeks and months click on the day(s) field (which is the default value) and a drop-down menu will open.
Next digest will be sent on [date] [time]
Select the date and time on which the next digest email will be sent to your users.
Please note that the time here matches server time. Hover your mouse over the tooltip to display the time of your server.
Furthermore, please note that the time configured here refers to the moment in which the mails are being sent. Depending on the amount of users, the capacity of mail your server and your mail server settings this action can take quite some time.
Especially on instances with a very large user base it may take quite a while before all users receive their digest email. This is a wanted behavior since we want to ensure that no matter how many emails are being sent, your Confluence doesn't suffer from the load.
Content
Define which blog posts should be featured in the news digest email.
All blog posts will be included in the digest.
Select this option if your users should receive an update about all recently published news within your intranet.
Only blog posts that match all criteria will be included in the digest.
Select this option if you want the news digest email to feature only specific news items.
You will have to set up rules which define what news should be featured in the digest email.
Type: Space
Configure the content of the news digest email based on spaces.
Operator
Comes from any of these
If you select this operator, the news item will have to match at least one of the entered spaces.
Comes from none of these
Use this operator to manually exclude spaces from the news digest email.
Items
Enter at least one space which holds the news items you wish to feature in the news digest email.
Type: Label
Configure the content of the news digest email based on labels.
Operator
Has any of these
If you select this operator, the news item will have to match at least one of the entered labels.
Has all of these
If you select this operator, the news item will have to match all of the entered labels.
Has none of these
Use this operator to manually exclude news with specific labels from the news digest email.
Has no label
Only news without a label will be featured in the news digest email.
Items
Enter at least one label which should be used as a filter for the news items you wish to feature in or exclude from the news digest email.
Type: Category
Configure the content of the news digest email based on labels.
Operator
Has any of these
If you select this operator, the news item will have to match at least one of the entered categories.
Has all of these
If you select this operator, the news item will have to match all of the entered categories.
Has none of these
Use this operator to manually exclude news with specific categories from the news digest email.
Has no category
Only news without a category will be featured in the news digest email.
Items
Enter at least one category which should be used as a filter for the news items you wish to feature in or exclude from the news digest email.
Don't forget to click on the Save button to save your configuration!
Click on the Add rule button to combine several rules.
You can choose between the operators OR & AND.
OR: News items will have to match at least one rule to be features in the digest.
AND: News items will have to match all rules to be features in the digest.
